Property Manager

Position Overview:
Our client is seeking an experienced Property Manager to oversee the daily operations of a multi-state industrial real estate portfolio. The position is responsible for tenant and vendor relations, property operations, maintenance oversight, construction and capital management, budgeting, and financial reporting. The role will have direct oversight of an industrial portfolio of approximately 1.4 million square feet across 36 assets and 163 tenants, primarily located in Kansas City and Minnesota, with broader portfolio exposure in Atlanta, Phoenix, New Jersey, and Philadelphia. The Property Managers objective is to drive superior financial performance while delivering high levels of tenant satisfaction. The position reports to the Senior Vice President of Property Management.

Role & Responsibilities:
Tenant Relations & Lease Administration

  • Serve as primary contact for tenant; organize and attend tenant meetings as needed.
  • Manage and resolve tenant service requests through the work order system, including weekly close-outs.
  • Maintain accurate tenant contact and emergency information.
  • Lease management and file maintenance.
  • Administer lease renewals and new leases; maintain complete and up-to-date lease files.
  • Track and maintain COIs and other required documentation.
  • Conduct space tours, move-in and move-out inspections, and respond to emergency issues as required.

Vendor Management & Contract Administration

  • Manage vendor relationships and service contracts, including rebidding expired contracts.
  • Ensure active and compliant COIs for all vendors and contractors.

Maintenance Staff Oversight

  • Attend monthly maintenance staff meetings to review building issues.
  • Review open work orders and oversee completion of outstanding orders.

Construction & Capital Project Management

  • Coordinate and secure bids for tenant improvement and capital projects, including bid leveling.
  • Prepare and execute construction agreements and related documentation.
  • Monitor the construction process to ensure projects are completed on time and within budget.
  • Oversee capital improvement and building projects across the portfolio.
  • Assist with implementation of decarbonization initiatives and ESG-related initiatives.

Financial Management & Reporting

  • Prepare annual property operating budgets.
  • Prepare monthly operating packages, including:
    • Property narratives and stacking plans
    • Financial variance reports and cash flow reports
  • Track compliance with management agreement requirements.
  • Administer annual rental rate escalations and complete CAM reconciliations.
  • Manage property tax payments and coordinate with tax appraisal consultants.
  • Oversee accounts receivable and collections, including:
    • Issuing delinquency notices by the 10th of each month.
    • Preparing A/R summary reports by the 15th and 30th.
    • Converting tenants into electronic payment methods.

Review and approve invoices daily

  • Prepare and track tenant bill-backs.
  • Perform additional related duties and special projects as assigned.
  • Report to the SVP - Property Management

Skills & Qualifications:
• Bachelor’s degree in business, finance, or real estate, or related field preferred.
• Minimum 4+ years of property management experience, with industrial property experience strongly preferred.
• Strong interpersonal skills with demonstrated success in tenant relations.
• Highly detail-oriented with the ability to manage multiple priorities and meet deadlines.
• Proficient in Microsoft Office (Outlook, Word, Excel).
• Strong analytical skills with experience in budgeting and financial reporting.
• Ability to read and interpret leases, plans and specifications, and contracts.
• Experience with MRI or Yardi software preferred.
• Ability to work independently and collaboratively in a fast-paced environment.
• Flexibility to work outside normal business hours when required.
• Ability to travel domestically as needed to support portfolio responsibilities.

Compensation & Benefits:

  • Salary Range: $95,000 – $125,000
  • Eligible for bonus
