JOB DESCRIPTION

Company Overview:
Our client, a leading real estate development, investment, and management company is seeking a highly motivated and detail-oriented Portfolio Lease Administrator to join our team and support our growing portfolio of currently more than 3 million square feet.

Position Overview:
The Portfolio Lease Administrator will oversee property leases and related transactions, ensuring accuracy and efficiency in lease administration. This role will also take ownership of the company’s website and social media presence, ensuring consistent and strategic digital communication. Additionally, the Portfolio Lease Administrator will be responsible for managing the tenancy information in the Company’s Yardi technology platform, ensuring all relevant information is accurately inputted and historical data is maintained. The role will also assist in the planning and execution of company events, team-building activities, and learning seminars.

Primary Responsibilities:

Lease Administration:
•Assist Leasing and outside Legal Counsel with the preparation and execution of new leases, including preparation of lease exhibits and coordination of internal lease approvals.
•Review and process all executed leases, lease amendments, lease renewals, and notice/address changes.
•Create and maintain electronic and paper tenant folders; create/update tenant and property information in the Lease Expiration Report.
•Abstract new leases and update existing abstracts.
•Draft lease renewals and amendments.
•Track required tenant sales reporting and percentage rent payments.
•Track critical dates for upcoming lease expirations, option notifications, and kick-out dates.
•Update and maintain property co-tenancy and use exclusives/restrictions schedules.
•Coordinate Estoppel/SNDA requests.
•Track Tenant Certificates of Insurance (COIs) and coordinate with the Property Management Department to maintain updated Vendor COI files.
•Interpret lease language with Property Management and Accounting Departments regarding annual CAM/TAX reconciliations.
•Coordinate and facilitate annual business plans.
•Assist the Director of Acquisitions with due diligence items and work with outside legal counsel in all aspects of real estate closings.
•Assist Finance team with loan closings.
•Ensure compliance with lease terms by both parties, addressing issues such as maintenance responsibilities and use restrictions.
•Assist in the monthly rent payment and tenant billing adjustments, including operating expense reconciliations and year-end adjustments.
•Assist in managing rent payments and collections, including following up on overdue payments and issuing late fees.
•Maintain accurate lease records and databases.
•Prepare and distribute lease-related reports and summaries to internal teams for decision-making.

Yardi Technology Platform Management:
•Ensure all relevant lease information is accurately inputted into Yardi.
•Maintain and update historical data within the Yardi system.
•Collaborate with other departments to ensure the integrity and accuracy of lease data in Yardi.
•Provide training and support to team members using the Yardi platform.

Website and Social Media Management:
•Take ownership of the company’s website, ensuring content is up-to-date, accurate, and engaging.
•Develop and execute a social media strategy to enhance the company’s online presence.
•Create and manage content for social media platforms, including LinkedIn, Twitter, Facebook, and Instagram.
•Monitor social media accounts for engagement opportunities and respond to comments and messages.
•Analyze website and social media metrics to track performance and identify areas for improvement.
•Collaborate with marketing and communications teams to ensure cohesive messaging across all digital platforms.

Event Planning and Coordination:
•Assist in the planning and execution of company events, including winter outing, summer outing, and holiday party.
•Coordinate team-building activities and learning seminars.
•Work with vendors and venues to arrange event logistics and ensure successful execution.
•Communicate event details to employees and manage event RSVPs and attendance.

Additional Responsibilities:
•Coordinate tenant events and communications, ensuring a high level of tenant satisfaction.
•Support property managers with tenant relations and conflict resolution.
•Stay informed about industry trends and best practices in lease administration and digital marketing.

Qualifications:
•Minimum 3+ years of relevant lease administration experience.
•Strong understanding of lease agreements, amendments, and renewals.
•Excellent organizational and time management skills with a strong attention to detail.
•Proficiency in Microsoft Office Suite.
•Experience with Yardi platform required.
•Experience with website management and social media platforms.
•Strong written and verbal communication skills.
•Ability to work independently and as part of a team.
•Knowledge of real estate terminology and property management practices.
•Bachelor’s degree in business, real estate, or a related field preferred.
